How to Reorder Columns in Excel?

Published in Excel Columns 2 mins read

Reordering columns in Excel can be efficiently done using drag-and-drop methods directly within the spreadsheet interface. This allows you to quickly change the arrangement of your data columns without needing to cut and paste.

Steps to Reorder Columns by Dragging

Here are the steps to move or reorder columns using the drag functionality, incorporating the methods described:

  1. Select the Column(s): Click on the column header (the letter at the top, like 'A', 'B', 'C') of the column you wish to move. To select multiple columns, click the first column header and drag across the headers of the columns you want to include, or hold down the CTRL (Windows) or COMMAND (Mac) key while clicking individual headers.

  2. Hover Over the Border: Position your mouse cursor over the border of the selected column(s). The cursor should change, typically becoming a four-headed arrow or a hand icon, indicating that the selection is ready to be moved.

  3. Drag to the Desired Location: Click and hold the mouse button, then drag the selected column(s). A visual indicator (like a green line or outline) will appear as you drag, showing you where the columns will be placed.

    • Basic Drag: Simply drag the selected column(s) to another location.
    • OPTION + Drag (Mac): Hold down the OPTION key while dragging the rows or columns to another location.
    • SHIFT + Drag to Insert: To insert the column(s) between existing columns and make space for them, hold down the SHIFT key while dragging. Release the mouse button when the insertion line appears in the desired position between two existing columns. As mentioned in the reference, holding down SHIFT and dragging your column between existing rows or columns will cause Excel to make space for the new column(s), effectively inserting them into the sequence.
  4. Release the Mouse: Release the mouse button when the visual indicator shows the column(s) are in the correct new position.

Using the SHIFT key while dragging is particularly useful for reordering as it shifts existing columns to accommodate the moved column(s), ensuring no data is overwritten and the sequence is simply rearranged.
