How to Network File Share?

Published in File Sharing 3 mins read

To network file share, right-click a file (or long-press if you're using a touchscreen), and then select Show more options (if necessary) -> Give access to -> Specific people. Choose a user on your network to share with, or select Everyone to grant access to all network users.

Here's a breakdown of the process and related considerations:

Understanding Network File Sharing

Network file sharing allows users on the same network to access files stored on another computer or a dedicated network storage device. This is useful for collaboration, centralizing data, and simplifying access to important files.

Steps to Share Files on a Windows Network:

  1. Locate the File or Folder: Identify the specific file or folder you want to share.

  2. Access Sharing Options:

    • Right-click (or Long-Press): Right-click the file or folder. On some systems, particularly Windows 11, you may need to select "Show more options" to see the full context menu.
    • Select "Give access to": Navigate to "Give access to" in the context menu.
  3. Choose Sharing Permissions:

    • Specific People: This is the most common and secure option.
      • Select "Specific people..."
      • A new window will appear. Enter the user's name, email, or "Everyone" into the text box.
      • Click "Add".
      • Next to the added user, use the dropdown menu to choose their permission level: "Read" (they can only view the file) or "Read/Write" (they can view and modify the file).
      • Click "Share."
    • Everyone: This grants access to all users on the network. Be cautious when using this option, especially on public or unsecured networks. If you select Everyone, double check that the 'Read/Write' permissions are properly configured to avoid unwanted edits.
  4. Confirmation and Accessing the Shared File:

    • After sharing, a network path (e.g., \\ComputerName\SharedFolderName) will be displayed. Share this path with the users you granted access to.
    • Users can access the shared file/folder by typing the network path into the File Explorer address bar.

Important Considerations:

  • Network Discovery and File Sharing Enabled: Ensure that "Network discovery" and "File and printer sharing" are enabled on the computer sharing the files. You can find these settings in the "Network and Sharing Center" within the Control Panel.
  • Password Protection: It is highly recommended to use password-protected sharing on your network for security reasons. You can configure this in the "Advanced sharing settings" within the "Network and Sharing Center."
  • Permissions: Carefully consider the level of access you grant to each user. Granting "Read/Write" access allows users to modify or delete the file, which may not be desirable in all situations.
  • Firewall: Your firewall may block network file sharing. Ensure that appropriate exceptions are created to allow network traffic.
  • User Accounts: Each user accessing the shared files will need a valid user account on the network.

Security Best Practices:

  • Use strong passwords: Protect your user accounts with strong, unique passwords.
  • Limit access: Only grant access to users who need it.
  • Regularly review permissions: Periodically review the sharing permissions to ensure they are still appropriate.
  • Keep your operating system and antivirus software up to date: This helps protect against security vulnerabilities.
