How to Use SharePoint Document?

Published in SharePoint Document Management 2 mins read

To begin using a document stored in SharePoint, you first need to access and open it from the site's document library. This process allows you to view or edit the file depending on your permissions and the method you choose for opening.

Accessing a SharePoint document typically involves navigating to the correct site and library where the document is stored. Once located, you can select the document and choose how you want to open it – either directly within your web browser or using a desktop application like Word, Excel, or PowerPoint if installed on your computer.

Here are the steps to access and open a document in SharePoint:

  1. Go to a SharePoint site: Start by navigating to the specific SharePoint site where the document is located. You can usually do this by entering the site's web address in your browser or by accessing it through your organization's internal links.
  2. Open the document library: Once on the site, find and open the document library that contains your file. This library is typically named Documents, but it could have a custom name. Clicking on the library name will display its contents.
  3. Select a document: Browse the library to find the document you wish to use. Click on the document's name or check the box next to it to select it.
  4. Choose how to open: After selecting the document, you have options for how to open it:
    • To open the document directly in your web browser (e.g., using Word for the web), select Open and then Open in browser. This is convenient for quick viewing or minor edits without leaving SharePoint.
    • If you have the corresponding desktop application (like Microsoft Word, Excel, or PowerPoint) installed on your computer and prefer to use its full features, select the file, then select Open, and choose Open in app. This will download a temporary copy or link the file to your desktop application for editing.

Following these steps will allow you to successfully open and start interacting with your SharePoint document, whether for viewing, reading, or preparing for editing.
