How to Set Your Print Area

To set your print area in a spreadsheet application like Microsoft Excel, you define a specific range of cells that you want to print, excluding everything else on the worksheet. This is particularly useful when you only need to print a portion of a large dataset.

Here's how to set a print area using the steps typically found in spreadsheet software interfaces:

Steps to Set a Print Area

Follow these simple steps to specify the area of your worksheet that you want to print:

  1. Select the Cells: First, select the range of cells on your worksheet that you want to include in the print area.
  2. Navigate to Page Layout: Go to the Page Layout tab in the ribbon.
  3. Find Page Setup: In the Page Setup group, locate and click on the Print Area option.
  4. Set the Print Area: From the dropdown menu that appears, click on Set Print Area.

Once you have completed these steps, only the selected area will be printed when you send the worksheet to your printer. A dashed line will usually appear around the defined print area to visually indicate it.

Setting Multiple Print Areas

You are not limited to setting just one continuous print area. If you need to print several non-adjacent sections of your worksheet, you can set multiple print areas.

  • To select multiple print areas, hold down the Ctrl key while you click and select each additional area you want to include.
  • After selecting all the desired areas while holding the Ctrl key, follow the same steps as above: Go to the Page Layout tab, click Print Area in the Page Setup group, and then click Set Print Area.

Important: When you set multiple print areas, each defined area will print on its own separate page.

Setting a print area helps ensure that your printed output is exactly what you need, saving paper and avoiding unnecessary information on your printouts.
